Child Data Privacy Notice

Hello! We're so happy you're part of Meerkats Multisport. This notice is for parents, carers, and children to understand how we keep your information safe and secure.

🔐 What Information We Collect:

We might collect data during the registration process for safeguarding reasons. We may ask for data like:

  • Your child's name and age
  • A parent or guardian’s contact details
  • Emergency contact information
  • Medical information (like allergies or health needs)
  • What days your child attends and takes part in club activities
  • Consent to use images in marketing materials
  • Email marketing consent

🧠 Why We Need It:

We use some of this information to:

Keep your child safe during club hours - if you are incapacitated or forced away in an emergency we legally become 'Loco Parentis' the same as when we are working as teachers in school - and this means we have the same legal responsibility to your children as a parent would. We would keep them safe in this highly unlikely eventuality and must be prepared and able to:

Contact you in the event of emergencies

Organise activities and manage attendance

Provide support for health or SEND additional needs

📦 How We Keep your data Safe:

  • We store data securely and only share it when absolutely necessary for medical or legal reasons (for example with a doctor in an emergency if a guardian was not present)
  • Only Meerkats staff (who are all enhanced DBS) can see relevant information eg. school year and SEND conditions.
  • We keep it just as long as we need to, and then it’s deleted safely

🤝 Who We Share It With:

We would never share private data with third parties except when obliged to eg.:

  • Required by law
  • There’s a medical or safeguarding emergency
  • We would never pass your data to third parties

🌟 Your Rights:

Parents and carers (and children, when old enough) can:

  • Ask to see the information we hold
  • Ask for changes or corrections
  • Say “no thanks” to certain uses

📷 Purpose of Photography

We occasionally take photographs during sessions, for use in promotional materials such as:

  • Meerkats website
  • Social media channels
  • Printed brochures or posters

In these images, children’s faces will be obscured by the club logo or other visual effects to protect their identity.

We will always ask for your explicit written consent through our booking form before using images of your child.

You may withdraw given consent at any time through contact us
